Methods to Split Oversized PST File in Outlook
Following are some of the ways to bring down the size of a large PST file in Outlook 2003, 2007, 2010, 2013, 2016:
Split Large PST in Outlook 2003
- First, start the Outlook application.
- Then, go to File >> Data Management >> Add.
- Next, select Outlook 97-2002 Personal Folders File (PST) and click OK.
- Then, set a name for the .pst file and click OK.
- Again, click OK and then, Close.
- Next, click the Folder List from the bottom of the navigation list.
- Here, the new PST Split file will be present.
- Drag the information from present Outlook 2003 or 2007 email account to this new .pst file.
Split PST File in Outlook 2007
- In Outlook 2007, go to File >> New >> Outlook Data File.
- From the New Outlook Data File dialogue box, select Office Outlook Personal Folders File (.pst) and then, click OK.
- Then, set a name for the new PST file and decide on a location where it will be saved.
- From the Create Microsoft Personal Folder dialogue box, give a name to the PST file as it will be displayed in Outlook Mail Folders list.
- Next, go to the Inbox folder were the important emails are saved.
- Then, select those emails by holding down Ctrl key.
- Next, go to Edit >> Move to Folder.
- From the Move Items dialogue box, click New.
- From the Create New Folder dialogue box, set a name for the new folder in Outlook.
- Under Select where to place the folder, select the new Split PST file, and then click OK.
- From the Move Items dialogue box, select the folder created with the new .pst file.
- Then, click OK. All emails will be moved to this new .pst file.
Split Existing PST File in Outlook 2010
- First, open Outlook 2010 and go to File >> Info >> CleanUp Tools >> Archive…
- From Archive dialogue box, select the Archive this folder and all subfolders option.
- From the list, select the PST file that has to be archived.
- From the Archive items older than drop-down list, select the date up to which emails have to be archived.
- Set a location for the New PST Split file where emails will be saved.
Split PST File Outlook in 2013 and 2016
- First, launch the Outlook application.
- Then, go to File >> Account Settings >> Account Settings.
- From the Account Settings dialogue box, select the Data Files tab and Click Add.
- From New Outlook Data File dialogue box, select Outlook Data File(.pst) and click OK.
- The New PST Split File will be available in Data Files tab.
- Again, go to File >> Open >> Import.
- From the Import and Export Wizard select Export to a File and click Next. From Export to a file section, select Outlook Data File (.pst) and Click Next.
- Next, select a mailbox folder that needs to be truncated and click Next.
- Then, Browse to the folder location where the new PST Split file will be saved and click Finish.
Limitations of Manual Process
- Lengthy Process: It is a long and tiring process for home or student users with limited space for mailbox PST.
- Time-Consuming: It can take a lot of time to split oversized PST file in Outlook 2003, 2007, 2010, 2013 or 2016.
Use an Automated Solution to Split PST File
The manual solution can be useful for many individual users to archive emails and back up them in a separate PST. It is not a reasonable solution for migrating multiple mailboxes in an organization.
